Privacy notice

Who operates Podium

Podium is a free, independent project operated under the name RQAI (“we”, “us” or “our”). You can contact us at hello@rqai.co.uk.

Information stored on your device

Podium may store the following in your browser or desktop app:

• presentations, slide images and speaker notes;
• microphone or camera recordings you make;
• transcripts, delivery measurements and rehearsal reports;
• practice history, progress and preferences; and
• API keys you add for an optional AI provider.

This information is stored locally. We do not receive it through a Podium account or Podium database. You control it through Podium and your browser or operating-system storage controls.

Desktop access requests

When you request a desktop download, we collect your email address so we can review the request, issue an access code and manage early access. We also record when the request and code were created. We do not add you to a marketing list unless we ask separately and you choose to join it.

When information leaves your device

Information leaves your device only in these situations:

• Optional AI tools. If you add an API key and ask Podium to use an AI feature, the text you submit is sent directly to the provider you selected. If you explicitly enable OpenAI cloud transcription, recorded audio segments are sent to OpenAI for transcription.
• Access and support. We receive the email you submit for desktop access. If you contact support, we also receive your message and anything you choose to attach.
• Website delivery and security. Our hosting providers may process technical information such as your IP address, browser type, request time and requested page in server logs.

Your chosen AI provider and our hosting providers handle information under their own privacy terms.

Why we process information

We use access-request information to take steps at your request and for our legitimate interests in running a limited preview safely. We use technical website information where necessary for our legitimate interests in providing, securing and improving Podium. Optional AI processing happens only when you request the feature.

How long information is kept

Local Podium information remains on your device until you delete it, clear the app’s storage or uninstall the app. We delete inactive desktop access requests within 12 months after the early-access programme ends. We keep support messages only as long as needed to answer the request and maintain reasonable business records. Hosting providers keep technical logs according to their own retention settings and policies.

Your choices and rights

You can delete local decks and recordings inside Podium or clear the app’s storage through your browser or operating system. Depending on where you live, you may also have rights to ask us for access, correction, deletion, restriction or objection concerning personal information we hold.

We will update this page before making a material change to how Podium handles personal information. The date at the top shows the latest revision.
